Admin guide
For the organisation owner and anyone given the Admin role — the people who set up and run company email.
Everything lives at app.vne.email. Open the admin area with More → Manage in the left rail (the bottom bar on a phone), or click your avatar → Manage. Only the owner and admins see it.

1. Sign in
- Open app.vne.email.
- Click Continue with Google and pick the Gmail account registered with VNe. Not on Google? Type your email in Email address, click Continue, then enter the 6-digit code sent to that address.
- Open the admin area: More → Manage.
2. Domain and DNS
Your domain (for example company.com) is the part after @ in company email. If VNe set things up for you, this step is already done — just check the status.
- In Manage, open Domains.
- No domain yet? Click Add domain, type a domain you own, click Add.
- Click View DNS records and copy each record (or Copy all) into the DNS page at your domain registrar.
- Come back and click Check DNS. Once it shows Can send ✓, mail flows both ways.
3. Add employees
Each employee signs in with their own personal email (usually Gmail). You invite them with that address.
- In Manage, open Employees and click Invite people.
- Email: type the person's sign-in email. You can paste several at once — each person gets their own invitation.
- Role: keep Member for regular employees.
- Fill in Full name, Title and Department if you like (when inviting several people, add these later).
- Click Send invite. The person gets an email, clicks Sign in to join and signs in with that same address.
4. Create an admin account
Admins can do everything in this area: domains, employees, mailboxes and billing. Have at least two so you never depend on one person.
- When inviting: under Role, choose Admin instead of Member.
- Someone already on the list: click Edit on their row, change Role to Admin and save.
- In Employees, people with admin rights carry an Admin badge under their name.
5. Give each person a company email
The invitation brings the person into the organisation; the company address (name@company.com) is a separate step, once your domain is in place.
- In Employees, on the person's row, click Set up email.
- Type the part before @ (for example lan.nguyen), choose the domain and the storage size.
- Click Create email. The person sees the new mailbox the next time they sign in — there is no password to hand over.
6. Shared email and aliases
A shared mailbox belongs to a team (info@, accounts@, support@) and several people read it. An alias is an extra address that delivers into an existing mailbox.
- In Employees, click Add shared email, set the address and display name, click Create mailbox.
- On the Shared email tab, click Access on the new mailbox to choose who may use it.
- Aliases: Aliases tab → Add alias, pick the receiving mailbox, click Create alias.
7. Bulk import employees
Already have a list in Excel or Google Sheets? Import it in one go instead of inviting one by one.
- In Employees, click Bulk import.
- Choose the Mailbox domain, then paste your table in this column order: Full name, Sign-in Gmail, Own mailbox, Department, Title, Role, Shared mailboxes.
- Click Check for a preview — problem rows are pointed out and nothing is created yet.
- Click Create # people. Each person gets an invitation by email.
8. Departments
- Open Departments and click Create department.
- Put people in a department when inviting them, or later with Edit. Departments are used to share Drive files by team.
9. Plan and billing
- Billing shows your current plan, mailbox count and storage used.
- Need more people or more space: Upgrade or Buy more storage. Pay by bank transfer or VietQR.
10. Send the guide to your team
The invitation is enough to get people in. To help them find their way, share the User guide — your company chat group is the quickest place.
