Everyday work guide
Calendar, Drive, Office, overview and the tools around your inbox — for every employee.
The left rail has Assistant, Messages, Mail, Calendar, Business and More. Most tools in this guide live under More: the Work group (Drive, Office, Tasks, Attendance, Forms, Colleagues, My settings) and the Company group (Overview). The search box at the top of More finds anything quickly.
1Overview: what's on today
- More → Overview. Personal shows today's meetings and tasks, mail awaiting your reply, approvals waiting for you, deals to push, and a check-in button if you haven't.
- Company-wide shows the pipeline, customers needing attention, deals silent for 7+ days, overdue invoices, expiring contracts and today's attendance.
- Owners/admins also see Infrastructure (mailboxes, storage, domains) and the Company handbook — written with AI so the Assistant knows company rules.
Overview needs Business access; money figures are visible only to the owner and admins.
2Revenue, collected and receivables reports
- Admins: Overview → Reports tab (or Full report).
- Pick month / quarter / year and step back or forward. Cards for revenue, collected, receivables; tables by employee, month and customer.
- Export CSV for your accountant. For a chart, ask the Assistant chart revenue by month.
Only the owner and admins can see reports.
3Calendar: meetings and invitations
- Open Calendar in the left rail (shortcut 4), click New meeting or drag on the time grid.
- Enter title, date/time (or all-day), and where: VNe meeting room (built-in video room) or an external link (Zoom, Meet…) starting with https://.
- Attendees: type colleagues, departments or outside emails. Find a free slot suggests a time; repeat daily/weekly/monthly/quarterly; reminder.
- Create & invite. Invitees answer Yes / Maybe / No and click Join at the time. Edit, reschedule or cancel by opening the meeting.
Views: Month / Week / Day / Agenda. Vietnamese holidays, the lunar calendar and team leave are shown. See VNe on your phone's calendar app: ⋯ → subscribe; import old events: ⋯ → import .ics.
4Booking page for customers
Send customers a link so they pick a free slot themselves.
- Calendar → ⋯ → Booking page → create one.
- Set title, duration, minimum notice, booking days, from/to hours and how far ahead → Save.
- Copy link and send it. The customer picks a time, enters name and email, confirms; the appointment lands in your calendar. Pause it with the accepting-bookings switch.
5Notifications and push
- Click the bell in the top bar for a quick look; More → Notifications for everything.
- Turn on push tab → Turn on notifications, then allow when the browser asks.
- iPhone/iPad: in Safari Add to Home Screen and open VNe from that icon (iOS 16.4+), or install the VNe app. Permission blocked: allow Notifications in the site settings and reload.
6Drive: upload, folders, documents
- More → Drive. Click Upload (files or a whole folder) or drag them onto the page. Same name: keep both or update the version.
- New: folder, VNe Doc, VNe Sheet, VNe Board, Form, Word document, Excel spreadsheet, presentation, or From template….
- The ⋯ menu (or right-click) on a file: rename, move, version history, download. Bottom-left shows storage used and Download all (.zip).
When the plan's storage is full uploads stop — admins are told so they can upgrade.
8Trash: restore deleted files
- Deleting moves a file to the trash. Open Trash in Drive's left bar.
- Restore to get it back, or Delete forever / Empty trash to free space.
Trash still counts toward storage and is emptied automatically after 30 days.
9Organisation Drive (admins)
- Organisation Drive in Drive's left bar is visible to the owner/admins only.
- Employee folders shows each person's files (e.g. when someone leaves); Access log records every open and download.
Every time an admin opens an employee's file it is logged.
10VNe Send: large files for outsiders
Recipients need no account, just the link.
- Drive → VNe Send in the left bar. Drop files or Choose files.
- Optional: title, message, email recipients (leave empty to just get a link), password protection.
- Create send link → Copy. The Sent list has copy link and Revoke.
Links live until you revoke them and count toward the organisation's storage.
11VNe Docs
- Drive → New → VNe Doc. Several people can edit at once; it saves itself.
- Type / to insert headings, lists, to-dos, tables, images (up to 20 MB), charts.
- Export PDF (allow pop-ups). Share with Edit to co-write, View for read-only.
Changed elsewhere: reload, or save as a copy.
12VNe Sheets and Excel files
- Drive → New → VNe Sheet (co-editing, ⚡ automation), or Excel spreadsheet for an .xlsx file.
- An uploaded .xlsx opens right in VNe. For co-editing/automation: Convert to .vsheet (the original .xlsx is kept).
- Export Excel (.xlsx) to send it on. Files with complex charts/shapes: open with Excel to keep formatting.
13VNe Boards: tables, Kanban, calendar
- Drive → New → VNe Board. Add columns (text, single select, date, number, person) and rows.
- Switch view: grid / Kanban (needs a single-select column) / calendar (needs a date column) / cards. Filter, group, sort.
- Discuss on each row, @ to mention people. Export to Excel when needed.
14Boards: collect requests and bug reports, post updates in your organization
Boards is your organization's forum: everyone posts requests, bugs and feedback and votes on them; handlers set status, assign work and leave internal notes; managers remove off-limits posts with a reason. Open it from More › Boards (you can pin it). Not the same as VNe Board in Drive — that's a spreadsheet-style data table.
- Click New board and pick a type: Requests & feedback, Product updates or Discussion. Statuses and types come pre-filled; edit them in Board settings › Categories (rename, recolor, add items inline).
- In Board settings › Members, add people or groups (for example a Team Dev group) as Member (post, comment, vote), Handler (change status/type, assign, internal notes, post updates) or Manager (remove posts, delete comments, settings). Turn off Everyone in the organization can join to keep the board to people you add.
- Click New post, write a title and details, pick a type. The board's handlers get notified; you follow your own post automatically.
- Switch between List, Kanban (drag a card to another column to change its status) and Table. Filter by status, type, Assigned to me, My posts; sort by Most votes or Trending.
- Open a post to vote, Follow and comment. Handlers get an Internal tab — notes only the handling team can see.
- Managers remove a post via the … button › Remove post, tap a quick reason such as Vi phạm tiêu chuẩn cộng đồng (community guidelines) or write their own. The author is notified with the reason; Restore post undoes it.
Followers are notified when a post changes status, gets an assignee or a new comment. Every status belongs to a stage (New, Under review, Planned, In progress, Done, Closed), so you can rename freely without losing meaning. Organization admins are always Manager on every board.
15Public boards: let customers post requests, vote and follow your roadmap
Turn on a public page for a board so your customers (no VNe account needed) can post requests, report bugs, vote and follow your roadmap at app.vne.email/b/<link>, with your organization's logo and colour. Customer requests land on the same board as internal ones.
- Open the board › Board settings › Public. Choose who sees it: Guests read and submit, Open forum (guests also vote and comment on every post) or Private submissions (guests only see their own posts).
- Set the link (e.g. widata-feedback), accent colour and welcome message, press Turn on public page, then Copy link to send to customers or embed in your product.
- Customers type into the box at the top; similar posts appear right below so they vote instead of posting duplicates. When they press send they enter their email and a 6-digit code sent to their inbox — emails are never shown publicly.
- To let customers already signed in to your product skip the code: Public › Create secret key; your server signs an HS256 token (email, exp at most 15 minutes ahead, name, external_id) and opens …/b/<link>?sso=<token>.
- Customer posts carry a Guest tag with their email (only Handlers see the email). Duplicates: open the post › … › Merge into another post… — votes and followers move to the target post.
- Publish a release on a Product updates board, open it › Link requests, pick the finished requests and turn on Mark as Done: the requests change status and following customers get a Shipped email. In the request board's Public tab choose Updates board shown alongside so customers see the updates page.
Customers following a post get an email when its status changes, when you reply publicly, and when it is merged or removed. Internal notes are never shown to customers. The public roadmap follows the Planned, In progress and Done status groups.
16VNe Whiteboard: sketch and diagram together
- Drive → New → VNe Whiteboard (or type whiteboard in the command search). The .excalidraw file is saved in the open folder and saves itself. From template has Process flowchart, Brainstorm and Org chart.
- Pick a tool from the toolbar (shapes, arrows, text, pen, image) and draw. Paste or drop images onto the board — they're stored in Drive next to the board. Text defaults to Nunito, which covers Vietnamese.
- Share with Can edit so several people draw at once — you see each person's cursor and name. Can view is read-only.
- Export → PNG image / SVG image (vector) / PDF (print / save as PDF). Send → Send to messages (shares the board file) or Send by email (PNG image).
Light/dark follows the app theme. Press ? for keyboard shortcuts.
17Opening and editing Word, Excel, PowerPoint
- Click a .docx / .pptx in Drive to open the Office editor in the browser (file menu: Open with Office). .xlsx/.xls open in VNe Sheets.
- New Office files: Drive → New → Word document / Excel spreadsheet / presentation.
- To co-write the VNe way: Convert to VNe Doc (one-way; the original stays).
- Presentations (.pptx): the Present button in the top bar plays full screen from slide 1 (Esc to exit). The left rail lists numbered slides; the properties panel on the right starts closed to keep things tidy — reopen it from the toolbar. Red spell-check underlines start off — turn them back on in the Review tab.
18Colleagues: the company directory
- More → Colleagues: everyone in the company grouped by department, with titles and who is on leave.
- Search by name, title or department; filter by department; Message opens a chat.
- Click a person for their profile. Adding/editing employees is an admin task under Manage → People.
19See what the Assistant did
- Open the Assistant → the clock button What the assistant did.
- Each time it looked up or touched your data (read your calendar, drafted an email awaiting your send, proposed a task awaiting your apply…), with time and outcome.
The Assistant never sends mail or applies changes on its own — anything that writes waits for you to click Apply.
20Bringing your old mail, contacts and calendar over
- More → My settings → Move everything to VNe.
- Mail: pick the old provider (Gmail/Google Workspace, iCloud, Yahoo, Lark Mail, Zimbra, other IMAP), enter the old sign-in email and an app password → test sign-in → start. You can close the page; mail arrives in the background.
- Contacts: choose a .vcf or .csv file. Calendar: import an .ics file. Gmail filters: choose mailFilters.xml (Gmail › Settings › Filters and blocked addresses › Export).
Gmail needs 2-step verification and an app password — not your Google password. Lark uses an authorisation code. Mail at the old provider is not deleted. Moving the whole company: admins use Move to VNe (Admin guide).
21Your own mail server alongside VNe
Unlike moving to VNe, the old mailbox keeps running; VNe just reads and sends through it.
- My settings → Your own mail server → Add server: the email and password on that server (VNe guesses host and ports; open advanced settings if needed).
- Choose two-way sync (reads/deletes in VNe are written back) or pull only; test the connection → Connect.
- When composing, pick that address in From — mail goes out through your server. Password changed there: re-enter it.
Removing the connection keeps the mail already pulled in and does not touch the old server.
Mail, signatures, chat, leave: the User guide. Customers, quotes, invoices: the Sales guide.
