VNe Connect guide
Message and voice/video call anyone on vne.email — free, no company needed.
Connect is the personal side of vne.email: an account that needs only an email address — no mailbox or company domain. The left rail has just Messages and Directory; for company email, Drive, Calendar and Business, Upgrade to Workspace (section 12).
1Signing in the first time
No password: sign in with Google, Apple or a code sent to your email. No account yet? One is created for you.
- Open app.vne.email/login, click Continue with Google / Continue with Apple, or enter your email → Continue → type the 6-digit code from the email (Resend code if it hasn't arrived).
- The first time, a short intro asks for a photo, display name, @username and notifications. To see it again: Settings → Replay the intro.
- Signed in on a computer and want another phone in: choose Sign in with another phone on the sign-in page and scan the QR code.
Without a display name people struggle to find you — a complete your profile card reminds you.
2Messaging and calls
One-to-one or group chats with anyone who has a vne.email account, including people outside your company.
- Open Messages and type in Search or start a chat: a name, an @username or an email. If the email isn't listed, click the Message … row.
- If they have never chatted with you, you can send up to 3 messages and Awaiting accept shows until they agree. Voice/video calls open once they accept.
- In a conversation click Voice call or Video call. The browser asks for microphone/camera the first time — click Allow.
- Hover a message (long-press on a phone) to reply in thread, forward, pin, edit or delete it (Delete for me or Delete for everyone — the latter cannot be undone).
Want private notes? Search your own name and choose Message yourself.
3Message requests: accept or decline
Messages from strangers land in Message requests, not your main list.
- In Messages open Message requests, read it, then click Accept or Decline.
- Declining does not block — they can write again. To block: open the conversation → menu → Block this person or Block & report.
- Unblock in Settings → Privacy → Blocked → Unblock.
4Creating a group
- In Messages click + → New group.
- Enter a Group name, add people with the search box (or type an email), click Create group.
- For an email with no vne.email account you are asked to confirm, then they get an invitation email.
5Inviting by QR code or link
The quickest way for someone to message you without knowing your email.
- Open My QR code & link (conversation menu → Invite by QR / link, or Share your QR code on the welcome screen).
- Click Copy or Share to send the link; the recipient opens it, clicks Sign in to chat and lands straight in a chat with you.
- To kill an old link: Revoke link. For a group use Invite to group.
- To scan someone else's code: the QR code dialog → Scan tab.
The link doesn't exist or was revoked means the inviter revoked it — ask them for a new one.
6Directory
Directory lists colleagues in the Workspace you belong to — it is not a friends list.
- Open Directory, search by name or email, click Message next to the person.
- Not in any Workspace yet? The directory is empty — message people by email or @username from the Messages search box.
There is no page for browsing strangers: you find someone only by their exact email, exact @username, or their invite link.
7Profile: photo, name, @username
- Settings → Profile. Click Upload photo/Change photo (PNG/JPEG/WebP up to 10 MB), add a cover photo if you like.
- Fill in Display name and Username (@) (3–30 characters: lowercase letters, digits, dot, underscore).
- Each field (birthday, phone…) has a Who can see this? menu: Everyone, Friends, Same organisation, or Only me.
- Once you have an @username, Copy profile link to share it.
Your @username can change only once every 30 days; a name someone just released becomes available after a few days.
8Privacy
- Settings → Privacy. The let people find you by @username switch — when on, only someone typing your exact @ finds you.
- Who can see what: choose for photo, name, birthday, phone number, email.
- Requests to see your phone/email are under Pending → Approve or Decline (a declined person can ask again after 7 days). Granted by mistake: Granted → Revoke.
- Activity status and Typing indicator: turn them off and others stop seeing yours — and you stop seeing theirs.
9Turning on notifications
- Settings → Notifications → Turn on notifications, then allow when the browser asks. This is per device/browser.
- Notification permission is blocked: open the site permissions in your browser (padlock next to the address) → allow Notifications → turn it on again.
- iPhone/iPad (iOS 16.4+): in Safari tap Share → Add to Home Screen, open VNe from that icon and turn notifications on. Or install the VNe app from the App Store.
10Devices and sessions
- Settings → Devices & sessions lists signed-in devices (the current one is marked This device).
- Click Sign out next to an unknown device, or Sign out other sessions to sign out everything except this one.
- Sign-in history keeps the last 20 attempts, including failed ones, with the method used (Google, Apple, email code, QR…).
This only revokes Connect sessions. If you are also signed in to a company mailbox, manage that in the company app's account settings.
11File storage
- Settings → Data & storage shows Used … of … — only files YOU sent in Connect count.
- Largest lists the conversations using the most space; open one and use Photos & files under its Info to delete messages with big files.
Running out of storage — delete messages with old files to keep sending.
12Upgrade to Workspace (company email, Drive, CRM)
A Workspace is the company layer: domain mailboxes, Drive, Calendar and Business for the whole team. Free to create, no card; your personal messages stay.
- Settings → Upgrade to Workspace (or the avatar menu). Already have one? Use Create a new Workspace in the Workspace switcher.
- Enter the Company name (changeable later) and click Create Workspace for free.
- The Workspace is open screen has shortcuts to enter it, open Drive, add a domain, add the first mailbox. Next steps for domain and mailboxes: the Admin guide.
In the phone app this screen only says Open on a computer — create the Workspace in a desktop browser. Until the domain's DNS (SPF/DKIM) is complete you can mail internally but not to Gmail/Outlook.
13Deleting and restoring a Workspace
- Delete: Workspace menu → Delete Workspace → confirm. It stops at once and members lose access.
- For 30 days it can be restored intact: the Workspace switcher shows … Workspaces pending deletion → Restore workspace. The screen shows the permanent-deletion date.
14Sign out everywhere, delete account
- Settings → Account shows your sign-in email. Sign out everywhere signs out every device.
- Permanent deletion: Delete account permanently → → Delete account → (optional reason) → type DELETE → confirm. Irreversible: your name in other people's chat history is anonymised and your files are deleted.
An account that belongs to a company on vne.email cannot be deleted here — ask your company admin.
Your company already uses vne.email? See the User guide and the Admin guide.
Stuck on a step? Ask the Assistant in the app, open More → Live support, or contact us.
